ENROLMENT CONTRACT
(Full Student & Parent Agreement, Code of Conduct, Safeguarding, Fees & Terms)
1. INTRODUCTION
This Enrolment Contract sets out the complete conditions of joining Al-Rushd Online School, including expectations for behaviour, attendance, safeguarding, academic integrity, payments, media consent, and withdrawal terms.
By signing this contract, parents/guardians and students agree to follow all policies stated in this document.
**1.1 Online Education and Parental Responsibility**
Al-Rushd operates as an online school providing comprehensive educational support through live online lessons, curriculum content, teaching materials, assessments, academic guidance, feedback and other learning resources.
Where a child is educated at home, parents/guardians retain ultimate responsibility for ensuring that their child receives an efficient, full-time education suitable to their age, ability and aptitude and to any applicable special educational needs. Al-Rushd will provide full educational support and deliver the agreed curriculum and teaching services with reasonable care and skill; however, parents/guardians remain responsible for their child’s supervision, attendance, engagement, completion of work and overall participation in their education.
2. STUDENT CODE OF CONDUCT
Students must maintain a safe, respectful, and productive learning environment.
2.1 Behaviour & Respect
• Treat staff and peers with respect at all times.
• Bullying, harassment, offensive language, discrimination, or inappropriate comments are prohibited.
• Conflicts must be resolved calmly and respectfully.
2.2 Lesson Expectations
• Camera must remain ON unless written permission is granted.
• Students must be in school uniform.
• Eating, lying down or inappropriate posture is not allowed.
• Chat may only be used when requested by staff.
2.3 Peer Communication
• No private messaging regarding school matters.
• No unsanctioned WhatsApp/Discord/social media groups.
• Only school-created study or revision groups are allowed.
2.4 Technology Use
• Devices used only for education during lessons.
• No gaming, inappropriate browsing, or misuse of devices.
2.5 Academic Integrity
• All work must be completed independently.
• No cheating, plagiarism, or AI misuse.
• Exam misconduct may result in zero marks or removal.
2.6 Privacy & Data Protection
Students must not record lessons, take screenshots, or share content.
2.7 Attendance & Punctuality
• Students must attend all lessons on time.
• Repeated lateness triggers intervention.
2.8 Disciplinary Pathway

e. Removal from the school in cases of persistent or serious misconduct
The School reserves the right to accelerate or bypass stages of the disciplinary process where misconduct is sufficiently serious, including where there is a safeguarding, safety, behavioural or academic-integrity concern.
3. STUDENT RESPONSIBILITIES
• Join lessons on time with camera on.
• Participate respectfully.
• Complete tasks/homework on time.
• Follow staff instructions.
• Bring correct materials.
• Inform parents of communications.
• Uphold the school’s values.
4. PARENT/GUARDIAN RESPONSIBILITIES
4.1 Daily Support
• Ensure attendance and punctuality.
• Provide a quiet learning environment.
• Ensure devices, camera, mic and internet work properly.
• Monitor online behaviour.
• Parents/guardians must actively monitor and supervise their child’s online activity.
• As Al-Rushd does not own, manage or control students’ personal devices, home internet connections or activity outside the School’s platforms and reasonable control, parents/guardians are responsible for supervising their child’s use of such devices, internet access and online content.
• Al-Rushd will continue to exercise its safeguarding responsibilities in relation to its staff, live lessons, school platforms and activities that are within the School’s reasonable control.
4.2 Primary Parent Supervision
Primary-age students must be appropriately supervised by a parent/guardian or responsible adult during live lessons. The supervising adult does not need to remain physically beside the child throughout every lesson but must be available and provide an appropriate level of supervision according to the child’s age, maturity and needs.
4.3 Parent Login Monitoring
Parents must log into their child’s school account on their own phone to supervise activity.
4.4 Communication
• Report absences before 8:30am.
• Inform school of wellbeing changes.
• Keep details updated.
• Attend meetings when required.
5. FEES, PAYMENTS & FINANCIAL TERMS
5.1 Fees Payable

5.2 Payment Methods
Payments may be made via:
• Direct Debit
• Bank Transfer
• Official payment link
5.3 Missed Payments and Account Restrictions
Missed payments must be resolved within 3 working days of the due date.
If payment is not received, the school will issue a reminder and allow parents three days to clear the fees.
• If no correspondence or payment is made within that notice period, the school reserves the right to:
• Restrict or block the student’s account,
• Remove access to live lessons and school platforms, and
• Suspend services until the outstanding amount is fully cleared.
Continued non-payment may result in full account suspension and removal from the school register.
**5.4 Late Payment Administration Charge**
Where a payment remains unpaid after the applicable payment period, the School may apply a £20 late-payment administration charge to cover the additional administrative costs associated with managing the overdue account.
**5.5 Outstanding Fees and Debt Recovery**
If parents/guardians leave the School without giving the required notice, all amounts due under the withdrawal provisions of this contract, including any outstanding fees, the applicable full term’s fee and the leavers’ fee, must be paid.
Where these sums remain unpaid, the School reserves the right to refer the outstanding balance to a debt recovery agency and/or pursue appropriate legal recovery action.
Parents/guardians will remain responsible for the outstanding contractual amount and any additional recovery costs that are lawfully recoverable.
6. ATTENDANCE POLICY & FINES
6.1 Minimum Attendance Requirement
• Attendance must remain above 95%.
6.2 Warning Stage
• Parents notified and reminded if attendance drops below 95%.
6.3 Fine Stage
If attendance falls below 90%, a £50 fine is issued.
**6.4 Mid-Term Holidays and Unauthorised Absence**
• Parents/guardians are not permitted to take their child on holiday during term time without prior approval from the School.
• Requests for term-time absence must be submitted to the School in advance and will be considered on an individual basis.
• Unauthorised term-time holidays will be recorded as unauthorised absence and may result in attendance intervention and, where absence is persistent or serious, further action under the School’s attendance or disciplinary procedures.
• Assessments missed as a result of an unauthorised holiday will not normally be rescheduled, except where the School determines that exceptional circumstances justify doing so.
• Parents/guardians and students are responsible for ensuring that all lessons, learning content, homework and other academic work missed during the absence are caught up independently.
• The School is not responsible for academic disadvantage caused by unauthorised absence or a failure by the student to catch up on missed learning.
7. WITHDRAWAL & LEAVERS’ POLICY
7.1 Notice Requirement
• Full term’s notice required.
7.2 Leaving Without Notice
• Where the required full term’s notice is not provided, the full term’s fee becomes payable.
**7.3 Leavers’ Administration Fee**
A £500 leavers’ administration fee is payable when a student withdraws from Al-Rushd School. This fee is charged in connection with the administrative and operational work associated with processing the withdrawal, closing and reconciling the student’s account, reviewing outstanding fees, updating school systems and records, preparing relevant academic information and documentation, completing the student’s withdrawal process, and managing the administrative impact of ending the enrolment.
The leavers’ fee is separate from any tuition fees or fees in lieu of notice that may become payable under this agreement.
Where the required full term’s notice has not been provided, the applicable full term’s fee will also remain payable in accordance with clause 7.2.
Once all outstanding fees, including any applicable full term’s fee and the £500 leavers’ administration fee, have been paid in full, the refundable deposit will be returned subject to the conditions of the Deposit Refund Policy.
Where any amount remains unpaid, the School may apply the deposit against sums lawfully due under this agreement and may refer any remaining outstanding balance to a debt recovery agency and/or pursue appropriate legal recovery action.
**7.4 Deposit Following Withdrawal**
• Where all outstanding fees, the applicable full term’s fee and the £500 leavers’ administration fee have been paid in full, the student’s refundable deposit will be returned, subject to the other conditions of the Deposit Refund Policy.
• Where amounts remain outstanding, the deposit may be held and applied against sums lawfully due under this contract.
• Any remaining outstanding balance may be referred to a debt recovery agency and/or pursued through appropriate legal recovery action.
**7.5 Release of Student Records**
• Student records, including attendance information, progress reports, assessment results, academic records, references and other relevant school documentation, will normally be released once all outstanding fees and charges have been cleared.
• Where the School is legally or regulatorily required to provide or transfer particular records, it will do so in accordance with the applicable legal requirements.
8. DEPOSIT REFUND POLICY
The deposit will be refundable where:
• All outstanding school fees have been paid.
• Where applicable, the full term’s fee due under the withdrawal provisions has been paid.
• The £500 leavers’ administration fee has been paid.
• There are no other outstanding fees, charges or amounts lawfully due.
• All School materials have been returned where applicable.
Where these conditions are satisfied, the refundable deposit will be returned to the parent/guardian.
Where any amount remains outstanding, the School may apply the deposit against sums lawfully due and pursue any remaining balance through an appropriate debt recovery process.
Year 11 & 13 will receive the deposit refund upon submitting the exam results to school.
9. RECORDING, MEDIA & CONSENT POLICY
9.1 Lesson Recording (Unedited)
All lessons may be recorded in original form for revision, safeguarding, QA and staff training.
**9.2 Media Use**
The School may use student images, video, voice or work only in accordance with its Privacy Notice and applicable data-protection law.
If you would like to opt out of the use of your child’s images, video, voice or work for website, social media, marketing or promotional purposes, please inform the School in writing.
9.3 Opt-Out Option
Parents may opt out in writing.
9.4 Forbidden Actions
Parents/students must not record or share lesson content.
10. SAFEGUARDING POLICY
• Maintain appropriate online behaviour.
• Report concerns immediately.
• Respect privacy.
• Follow safeguarding instructions.
11. TECHNOLOGY POLICY
Parents must ensure functional devices, stable internet and no misuse.
**12. EXAM RULES & PARENT INVIGILATION**
For internal School examinations and assessments conducted at home, parents/guardians may be required to supervise or invigilate in accordance with the School’s instructions to ensure independent work and compliance with assessment rules. External examinations, including GCSE, IGCSE and A-level examinations, are subject to the rules and arrangements of the relevant awarding body and examination centre.

4. SCHOOL RIGHTS
Al-Rushd may make reasonable changes to its policies, teaching arrangements, teachers, staffing, platforms and operational procedures where reasonably necessary for educational, safeguarding, technological, regulatory or operational reasons.
Parents/guardians will be notified of material changes where appropriate.
The School may take disciplinary action in accordance with this agreement and its applicable policies.
Nothing in this contract is intended to exclude or restrict any statutory rights that cannot lawfully be excluded or restricted.
